Information for Session Chairs

Dear Session Chair,

Thank you for agreeing to help with this important function at the ILASS conference. Here is some information you may find useful in chairing your session.

  1. Please note down the date, time and room location of your session from the ILASS program. The website will have the most recent information since it reflects updates that may have been necessitated even after the program was printed.
  2. Daily updates are given, as needed, at the start of each day of the conference. They will also be posted in prominent locations at the conference.
  3. Each talk in your session should be allotted a total of 25 minutes. Please ensure that the talks start and end on time so that attendees can switch between the concurrent sessions.
  4. Each speaker gets 20 minutes for the presentation. There are 3 minutes for questions, and two minutes for change over to the next talk. Please use your judgment in allowing speaker time and time for questions, but ensure that everything is completed in time for attendees to go to the next talk in a parallel session.
  5. Honors and Awards: Please contact Scott Parrish for the Marshall and Simmons award forms.
  6. Every paper is eligible for the Marshall award, but only student presenters are eligible for the Simmons award.
  7. Please identify student speakers when you introduce them.
  8. Please make sure the award forms are filled out and returned to Scott.
  9. Please try to be at the room sufficiently early, prior to the start of the session, so that the following can be accomplished smoothly:
    • Ensuring all the speakers are present, and checking for any no-shows
    • Getting help with proper pronunciation of the names and affiliations of the speakers
    • Assisting the speakers set up their presentations. Note: Projectors and laptops equipped with PowerPoint and Windows Media Player will be available at the conference. On Tue night, the three conference rooms will be setup and ready to go. Spraying Systems Employees (Kyle Bade - coordinator) will assist presenters with any technical issues that may arise, these would be primarily limited to PowerPoint and projection.
  10. It is a good idea if you are attending the Tuesday evening reception to contact Scott Parrish regarding H&A matters, and the speakers in your session for help with names and potential changes.
